Making technology work

This year’s Conference and Youth Forum are special and unique as this is the first time these events will be held virtually, and will welcome the largest number of participants ever.  To help you navigate this new virtual experience and make participation easy for all, we will be offering a range of technical support before and during the events.

Check out the information below about the technologies we will use during the events, and sign up for the support webinars to help you make the most of the Conference and Youth Forum experience.

Staying informed through the website

The Conference and Youth Forum website is the primary source of information before, during and after the events. On this website, delegates and others interested in the events can find relevant information about getting prepared, as well as the registration process, programme schedule, institutional documents, and decision-making processes. There is no better place to stay uptodate on the latest news related to the Conference and Youth Forum.
During the Conference and Youth Forum, participants will be able to use the digital participation platform to engage and follow the events. People who are not registered as part of National Scout Organization delegations, but who still want to follow the main plenary sessions of the event, can do so via livestream on the website.

Navigating the online participation platform

The Conference and Youth Forum participation platform will be used as a digital venue for the events. The platform will enable participants to maximise their online participation and benefit from the highest possible digital engagement to have the best possible experience.

Every participant (delegates, observers and guests) will need to be registered to receive access to the digital participation platform. Participants will receive their credentials via email to access the digital platform and start their online participation in early August before the events.

The platform will have a wide range of functionalities for digital engagement at the event and will be used during live plenaries, workshop and breakout sessions, and networking events. It will have options to visit exhibition spaces, chat with other delegates, meet online in groups, and setup individual one-on-one calls. Participants can also take part in friendly challenges and fun activities to earn points, get on the leaderboard, and compete against other delegates. Using new online tools and platforms can sometimes be overwhelming, so please join one of the digital participation platform demo tours in August to explore, ask questions and learn how to maximise and enjoy your event experience.

Understanding the e-voting system

At the Conference and Youth Forum, all formal voting will be done using our secure e-voting system. The e-voting will allow an easy, efficient and transparent process as one of the most critical parts of the events.

Dedicated support will be offered to every delegation to understand how to use the e-voting system, and participants can join a webinar session in June to learn more and ask any questions. More details about the e-voting system will be available here prior to the events.

Accessing support before and during the events

To ensure that every participant is able to enjoy and engage in the Conference and Youth Forum, we will have a variety of support available before and during the events, including:

Bookable sessions with the support team to answer any technical questions.

Access to the Support Centre and frequently asked questions with the option to raise a support request with our Help Desk team.

Live 24/7 chat during the events with our Help Desk team to support and resolve any issues you may experience related to your participation.

Webinars and support sessions on the digital participation platform and e-voting system.

We encourage every National Scout Organization to appoint a Conference and Youth Forum Ambassador to support their delegation with technical matters. A training session will be provided for all Ambassadors to ensure that every delegation has dedicated support available within their team.
